The starting position

A Houston brokerage was bringing in leads from paid ads, organic posts, and referrals, and handling every one of them by hand. A lead would come in, sit in an inbox, and get a reply when someone had a minute. Good leads went cold in the gap.

The problem was not lead volume. It was that nothing connected the moment a lead arrived to the moment someone followed up. There was no system, only effort.

What I installed

One connected intake, end to end

I built the intake as a single system. Every lead lands in one of two funnels: a buyer funnel for property-search intent, and a seller funnel for home-value estimates. The funnel a lead picks already tells the brokerage what it is looking at.

From there a five-question check qualifies the lead automatically and scores it. The scoring rules sort every lead into one of three tiers, then route it into the CRM with that tier attached. No one reads an inbox and guesses.

How it runs

A hot lead, pre-approved and buying soon, triggers an instant alert and a booked call. A warm lead, interested but months out, drops into a nurture sequence. A cold lead is held in a long-term drip so it is never lost, only patient.

The agent's job changed. Instead of chasing every lead the same way, they work the ones the system says are ready, and trust that the rest are being kept warm without them.

Why it matters

Most brokerages lose leads in the handoff, not the marketing. This system closes that gap. The lead is caught, qualified, scored, and routed in the time it used to take to notice it had arrived.
